Job Title: Office Manager
Job Overview:
We are seeking a highly organized and experienced office manager to oversee the daily operations of our estate planning law firm. As the office manager, you will be responsible for managing the administrative functions of the office, including overseeing the work of support staff, managing the office supplies and client schedules, and ensuring we maintain top quality customer service. Responsibilities:
- Oversee the day-to-day operations of the office, including managing support staff and ensuring efficient workflows
- Ensure compliance with company policies
- Schedule appointments and manage client communications including answering phones
- Conduct some client meetings under attorney guidance
- Plan and maintain event and travel schedule for attorneys
- Prepare client communications
- Prepare and manage client invoices
- Maintain accurate and organized files and records
- Manage office supplies and equipment, and ensure they are properly maintained
- Coordinate with vendors and service providers to ensure the office is running smoothly
- Provide administrative support to attorneys as needed
- Supervise an office assistant/file clerk
Requirements:
- Bachelor’s degree in business administration or a related field, preferred not required
- 2+ years of experience as an office manager, preferably in a law firm setting
- Strong organizational and time-management skills
- Excellent communication skills, both verbal and written
- Ability to prioritize tasks and manage multiple deadlines
- Knowledge of office software, including Microsoft Office and document management systems; ability to quickly learn new software systems and to implement additional efficiencies across multiple platforms
- Experience managing a team of support staff
